GoHighLevel, set up so it actually runs: Go Scaleable

Jacob Campos, Campfire Creative Media

GoHighLevel is a CRM, follow-up, calendar, funnel and phone system in one subscription. It works when someone builds the system inside it: a pipeline, speed-to-lead texting, reminders, reactivation and reporting. Go Scaleable is Campfire's white-label GHL platform with those builds already done, for clinics and agencies that want to own the setup rather than start from a blank account.

What GoHighLevel is, in plain words

GoHighLevel (most people say GHL) is one login that holds the things a clinic or an agency usually pays five tools for. A CRM, so every lead has a record. Text and email follow-up that sends itself. A calendar with reminders. Landing pages and forms. A phone number that can ring, text, and record. Reporting that ties it together. One bill instead of five, and every piece can talk to the others because they live in the same place.

That last part is the point. A form fill on a GHL page can start a text, book a slot, move a card on a pipeline, and show up on a report, without a Zapier chain holding it together.

Why most GHL accounts die

You may already know this one from experience. Someone sold you GoHighLevel, or you bought it on a trial, and for a few weeks it looked like the answer. Then the trial ended, the account sat there with three contacts and a half-built workflow, and the card got charged every month until somebody noticed.

The tool was never the problem. GHL is a blank workshop. It ships empty. Nobody built the system: the pipeline stages, the message that goes out sixty seconds after a form fill, the reminder two days before an eval, the "still want to come in?" text for the lead that went quiet. Without those, GHL is a subscription with a login you forget.

The second way it dies is quieter. An agency built it, it ran, and the agency left. Now there are workflows nobody understands, a phone number nobody knows how to change, and an owner who is afraid to touch any of it. "How to clean up GHL" is a question we hear on calls more often than "what is GHL."

What a working build contains

A build that runs has six pieces. Not thirty automations. Six, done properly.

  • A pipeline. New lead, contacted, booked, showed, started a plan, lost. Every lead sits in exactly one stage, so a Friday glance tells you where this week went.
  • Speed-to-lead texting. A form fill or missed call gets a text within a minute, every time, with a way to book. This is the piece that pays for everything else. See speed to lead for clinics.
  • A calendar with reminders. Booking pages that match your real availability, confirmation at booking, reminders the day before and the morning of, and a reschedule link in every message. No-shows drop when the reminder is a text, not an email.
  • Reactivation. A sequence for leads that never booked and patients who finished a plan months ago. It is the cheapest patient you will ever get, and most clinics never send it.
  • Reporting. Leads by source, booked by source, cost per booked patient. One screen that answers "am I making money" without opening Meta or Google.
  • AI answering. A role that replies to texts, DMs and after-hours calls from your FAQ and your calendar, books the slot, and hands off to a person when a real conversation starts. What it will and won't do is in can an AI answer my phone.

Those six, installed in a sub-account with your branding, your numbers and your calendar, are what we call a snapshot. The clinic version is laid out in what's in a clinic snapshot.

Renting an agency's GHL vs owning your own sub-account

Here is the part most owners find out too late. GoHighLevel is sold to agencies, and agencies create a sub-account for each client inside their own agency account. If your agency built your CRM, the sub-account lives under their login. When you stop paying, they can turn it off, and they usually do. Your contacts, your conversations, your workflows, gone or held for ransom.

Go Scaleable is Campfire's white-label GHL platform. It runs on GoHighLevel underneath, with our builds and our support on top. The difference is who holds the keys. Your sub-account is yours: you are the admin, you can add and remove users (including us), and your data exports whenever you want it. We built it; you own it. That is the same rule we apply to everything else we install, and it is spelled out in do I own it and what happens after the 12 weeks.

If you already run GHL under another agency or on your own plan, the build still works. We install into what you have. Nobody has to move.

Who it's for

Clinics that want to own the system. Cash-based PT and chiro practices that have paid an agency before, got a CRM they could not read, and would rather have one they can. The clinic snapshot goes in, the team learns the six pieces, and the account keeps running whether or not we are in the room. Most owners get here through MarketingOS, or through Consulting if they have more than one location.

Agencies that want a white-label platform. Small agencies serving clinics, gyms, or local service businesses who do not want to spend six months learning snapshots and workflows before their first client is live. Go Scaleable gives you a branded platform with the clinic build, the speed-to-lead build and the AI roles already done. You sell the result; the plumbing is handled. Platform details are at goscaleable.com.

Coaches running GroupCraft. If you run a Facebook group and use the GroupCraft sequence, every reply and DM needs somewhere to land. The GroupCraft follow-up lives on Go Scaleable: tags for who raised a hand, a pipeline from DM to call, and reminders so a warm member does not go cold while you are busy.

The Campfire way

We install GHL the way we install everything. Small first, then built out, then handed over.

Week 1

Spark: find the leak

We look at where leads already arrive and where they slip. Missed calls after five, form fills answered Tuesday, evals never confirmed. The first build goes where the money is leaking, not where the feature list is longest.

Weeks 2 to 6

Kindling: install the snapshot

Your sub-account on Go Scaleable, or your existing GHL, gets the pipeline, speed-to-lead, calendar, reactivation, reporting and AI answering. Your numbers, your branding, your hours. Tested with real leads before anyone calls it done.

Weeks 7 to 12

Bonfire: run it with you

Ads come on once the follow-up holds. You learn the six pieces well enough to change a message or a reminder without calling us. Playbooks, recordings and help docs are handed over as we go.

Keep it burning. After the install, a GHL account needs twenty minutes a week: read the report, check the pipeline, approve next week's ads. Owners who want company keep a monthly group call. Agencies on Go Scaleable get updated snapshots as we improve them. Nobody is required to keep paying for what they own.

A word on patient data

The marketing system does not need patient health information. GHL holds names, numbers, emails, appointment times and what someone asked about. Clinical records stay in your EMR. The AI roles answer from your FAQ and your calendar, not your charts. The full version is in is it HIPAA compliant.

Where to start

If you have a GHL account that rotted, bring the login to a call and we will tell you in ten minutes whether to fix it or start clean on Go Scaleable. If you are an agency, read the platform page at goscaleable.com and then book a call. Either way, the conversation starts with where the leads are leaking, not with the software.

Questions around the fire

Do I have to use GoHighLevel?

No. If you have a CRM your team actually uses and it can send a text within a minute of a lead arriving, keep it. We recommend GHL because it does the follow-up, calendar and phone in one place, and because we have the builds done. If yours does the job, we install around it.

Who maintains it after it's built?

You can, and most owners do: the build is six pieces with written instructions, and twenty minutes a week keeps it running. If you would rather not, Consulting keeps us on your account, and agencies on Go Scaleable get platform support and updated snapshots from us.

What does Go Scaleable cost per month?

Platform pricing is published on goscaleable.com and depends on whether you are a single clinic or an agency with multiple sub-accounts. Texting and phone usage are billed at cost on top. We will not quote a number here that might be out of date by the time you read it.

Can it connect to my EMR or scheduler?

Often, not always. GHL connects to most calendars directly and to many EMRs through Zapier, webhooks or the API. Some EMRs have no way in and need a simple weekly export. Tell us which one you use on the call and we will give you a straight answer.

I already have a GHL account from another agency. Can you fix it instead of starting over?

Usually. We audit what is there, keep what works, delete the rest, and install the missing pieces. If the account is a mess and you do not own the sub-account, it is often faster and safer to start clean on Go Scaleable and import your contacts.

What happens if I leave?

Your contacts, conversations and data export any time. Your sub-account is under your admin login, so you can remove our access the same day. GoHighLevel also allows a sub-account to be moved to another agency. Leaving costs you a conversation, not your data.

Bring your numbers. We'll bring the matches.
