How do I track where a new patient actually came from?

Jacob Campos, Campfire Creative Media

Four things: a tracking number on every ad so calls are counted by source, forms that carry the source into the CRM, a pixel that records the booking, and a front desk that asks every new patient one question and writes down the answer. Then every patient has a source, and the ad report stops guessing.

Why it's muddy now

"They say Google, but did they see my ad first?" Patients don't remember. An agency that counts a map click as a lead doesn't help. Two of your last ten patients might have come from the ad, or from the maps listing, or from a friend, and without tracking you'll never know which spend to cut.

The four pieces

  1. Call tracking. A different number on each ad and on the website. The CRM logs which one rang.
  2. Forms with a source. Every form carries where it came from into the contact record.
  3. The pixel and conversion events. A booked appointment fires an event so Meta and Google learn who books, not just who clicks.
  4. The front-desk question. "How did you hear about us?" on every intake, recorded in the CRM, not on a sticky note. This catches the word-of-mouth the pixel can't.

What you get

A report that says: this many patients, from these sources, at this cost each. That report is what "I have no gauge" turns into. It is the first thing we build, before any ad runs.

Questions around the fire

Do I need call tracking if I only run Facebook ads?

Yes. Many Meta leads call instead of booking online. Without a tracked number those patients get credited to 'phone' and the ad looks worse than it is.

Does the tracking work with my EMR?

The CRM holds the source. If your EMR can't import it, a weekly export keeps them matched. We set that up.

What's a good cost per booked patient?

In our clinic accounts last year, about $130 per booked appointment where it was tracked. See the Campfire Benchmark for the ranges.
