How do I know it's working? Do I get a dashboard?

Jacob Campos, Campfire Creative Media

Yes. You get one view that answers four questions: how many leads came in, how many booked, what each booked patient cost, and which source they came from. It lives in your CRM, updates on its own, and a short brief lands every morning so you never have to go looking for it.

"I have no gauge" is the real problem

It is the line we hear most on calls. Owners are spending money on ads, an agency, a website, and they can't say what any of it produced. Not because nothing worked, but because nobody wired the numbers together. A dashboard is only useful if it answers the questions you actually ask.

The four numbers on it

  • Leads. Every form fill, call, text and DM, counted once, with the day it came in.
  • Booked. How many of those turned into an evaluation on the calendar, and how fast someone replied.
  • Cost per booked patient. Ad spend divided by booked patients, by source. This is the number that tells you whether to spend more or stop.
  • Source. Google, Meta, referral, website, reactivation. Recorded on the contact, not guessed at month-end.

Where it lives

In the CRM your leads already flow into, so the numbers come from the same records your front desk works from. Nothing to export, nothing to rebuild each month.

The morning brief

Most owners will not open a dashboard every day, and they shouldn't have to. A short brief arrives each morning: yesterday's leads, who hasn't been called back, what an ad cost, and anything that needs a decision. It drafts and flags. It does not send anything on your behalf.

Questions around the fire

Is it linked to my payments or Stripe?

It can show revenue from payments if you want it. Most clinics start with leads, bookings and cost per booked patient, because that is what decides the ad budget.

Can my front desk see it?

Yes. Give them the view that matters to them, usually who needs a call back today.

What if the numbers look bad?

Then you know where the leak is: the ads, the follow-up, or the offer. That is the point. See what we do when the ads don't work.
